Williams Sports Tours Ltd ("Williams Sports Tours", "we", "us") is a UK-registered company providing hockey tour consultancy services to schools and clubs. This policy explains what personal information we collect through this website, how we use it, and your rights, in line with UK GDPR and the Data Protection Act 2018. What we collect and why

We only collect what you give us, mainly through the contact form: your name, role, school or club name, email address, approximate squad size, preferred dates, and any message details. If you email us directly, we hold that information the same way.

We use it to respond to your enquiry, plan and quote for your tour, and keep a record of our communications. We process this on the basis of legitimate interests (responding to your enquiry) and, where a tour goes ahead, to perform a contract with your school or club. We don't use your information for marketing without separate consent, and we never sell or rent your data.

Who we share it with

Our hosting provider (Netlify) processes contact form submissions purely to deliver them to us, acting as a data processor on our behalf. Once a tour is confirmed, we may share relevant details with accommodation, venue, or transport providers, limited to what's needed to arrange your trip. We don't share your data for marketing purposes.

Cookies, analytics and retention

This site uses Google Analytics to understand how many people visit and how they use the site. Google Analytics sets cookies on your device to do this. When you first visit, you'll see a cookie consent banner, and analytics cookies are only set if you accept. You can change your mind at any time using the "Cookie Settings" link in the footer of this site.

Google Analytics collects information such as pages visited, time on site, approximate location (derived from IP address), and device or browser type. This data is aggregated and used to understand overall visitor trends; it is not used to identify you personally. Google processes this data as our data processor, and some data may be transferred to and processed in the United States under Google's standard contractual safeguards. If your enquiry doesn't lead to a booking, we keep your details for up to 24 months, then delete them. For booked tours, we keep records as long as needed for the tour and our legal and accounting obligations (typically up to 6 years).

Your rights

Under UK GDPR you can ask what data we hold about you, request a copy, ask us to correct or delete it (where we're not legally required to keep it), restrict or object to processing, or request it in a portable format. Get in touch below to exercise any of these. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Children, and changes to this policy

This site and its contact form are intended for teachers, coaches, trip coordinators and parents, not for pupils or players under 18 to use directly, and we don't knowingly collect information directly from children. We may update this policy from time to time; updates will appear on this page with a revised date.
